Outlook items that you can tag include email messages, calendar items (appointments and meetings), journal entries, notes, contacts, and tasks. Tags, separated by a comma, are assigned to Outlook items with the Tagger (Type here to Tag box):
To tag a single Outlook item
1. | Select or open the Outlook item |
2. | If the Tagger is not open Either above or below the email list, or on the Taglocity Toolbar, or at the bottom of the item edit window , click the Tagger button on the Taglocity toolbar or ribbon tab |
3. | In the Tagger (Type here to Tag box), and enter your tags (Tip) Either type the tags into the Tagger separated by commas, or start typing a tag and then select it from the auto-complete list with the arrow keys, then press Tab to accept it. Or click the drop-down arrow in the Tagger and click the checkboxes next to the tags you want to assign. Note that if you type a tag into the Tagger that's not setup yet, then Taglocity will prompt you for confirmation to add a new tag to your collection. If you answer Yes, then the Tag Properties dialog box will open for you to change default settings if you like. |
4. | Press Enter (recommended) or click away from the Tagger to assign the tags to the item |
Note If you type a tag in the Tagger that's not setup yet, then Taglocity will prompt you for confirmation to add a new tag to your collection. If you answer Yes, then the Tag Properties dialog box will open unless you have elected not to show it again (in which case you can have it show again via a setting in Configuration -> Settings / Notifications: Ask if I want to create new tags in Tagger) for you to change default settings if you like. Or you can setup new tags in the Configuration dialog box prior to assigning them to Outlook items.
To tag multiple Outlook items
When you select up to 50 items in Outlook, Taglocity puts all the tags from all the selected items into the Tagger. Tags that are on all of the items are black; tags that are on only some items are gray. When you select more than 50 items in Outlook, Taglocity will not show the tags in the selection due to performance reasons. Instead, you will see this message: The selection is too large to show tags. Tags can be assigned or removed. In either case, any new tags you put into the Tagger will be assigned to all selected items. Jump to Remove Tags for more help.

Tip There are other ways to tag multiple items in Outlook: Jump to Tagging Search Results and Taglocity Bulk Tagging for more information.
Tip When you assign tags to a lot of items, and some of the items belong to tagged conversations, then Taglocity has to find and tag the other emails in those conversations. This can add significantly to the processing time. Even though a progress dialog box with a stop option is presented, you may want to skip the conversation tagging process to speed it up. You can stop the process and clear the tracking cache, essentially cancelling i.e. removing the Tag Conversation settings from all marked conversations all tagged conversations, then try tagging the items again.
