After you have setup your workspace, and reviewed Taglocity's productivity features, you're ready to try some things out to get a better feel for Taglocity:
The Conversation Reader is useful for quickly viewing or finding all related emails across folders, including your replies.

Taglocity Search is great even if you haven't tagged anything yet:
2. | Type in some keywords and press Enter to conduct a most basic search. |
3. | If you have been using tags or Outlook categories All Taglocity tags are mapped to Outlook categories, and saved on items as Outlook categories. You can even use the Outlook categories feature to assign and remove tags., you will see a tag cloud in the Prune section containing the tags (and Outlook categories) that appear in the result set. This allows you to narrow down your results quickly to make the list more relevant and manageable. Click a tag, or right click on one to see other options to experiment with. |
4. | The date range control is also great for making results more relevant because, for example, you might know what you're looking for was roughly six months to a year ago so why clutter up the results with content before or after that date range? So drag the sliders and press enter to see how this works. |
5. | Select a search result starting with RE: or FW: in the subject line, then click the Open Conversation button above the results list so see how you can automatically get see all related emails regardless of location or whether they appeared in the results set. |
6. | Right click on any item in the results to see other features like copying the underlying Outlook item, forwarding as attachment, etc. |
7. | Hover your mouse over a column header in the results list, then click the filter icon . A drop-list shows all the values from the results in that column. Try selecting one to see how the results list can be filtered. (Note: the Date column is a special case; it gives you a calendar and date range options instead of a list of dates) |
8. | Drag any column header into the panel above the grid to see how grouping works. This is particularly useful for the Location or Type columns. |

The Contact Bar is great for adding an additional dimension to email:
1. | Make sure the Contact Bar is open, then click on an email in Outlook. Notice that the Contact Bar refreshes to show things about the sender of that email. |
2. | If the sender of the email is one of your contacts, his or her common phones numbers are presented for you to click to call (if you have dialing software pre-installed). If the sender is not an Outlook contact yet, click the Add to Contacts link. Taglocity opens the Outlook Contact form and fills a bunch of the data fields, including phone numbers from the signature block if it exists. |
3. | Click the right arrow in the Contact box, then select Compose new Email.... Taglocity opens a new email window with the sender's email address already entered for you so you don't need to go hunting for it. |
4. | The conversation list in the Contact Bar shows recent communications and exchanged attachments with the sender of the selected email in Outlook, no matter which folder you are in. Try changing the From and To checkbox combinations at the top of the conversation list. |
5. | Click the Search button next to the From and To checkboxes. For a more granular search, try clicking on the chart bars at the bottom of the Contact Bar. |
6. | If you use the Contact Bar in short spaces, try collapsing the sections you don't use as much. |
The Contact Bar is opened and embedded into Outlook by default, but if it's off, see Contact Bar to turn it on and for more information about this feature.

When you create tags with Taglocity, corresponding Outlook categories All Taglocity tags are mapped to Outlook categories, and saved on items as Outlook categories. You can even use the Outlook categories feature to assign and remove tags. are created too. When you put a tag on an Outlook item, Taglocity saves the tag on the item as a category. In other words, Taglocity exposes and leverages the full power of Outlook categories.
1. | Select an email in Outlook (you can select multiple items if you like) |
3. | Type a tag into the Tagger; as you type, any matching tags will be presented in the auto-complete list. |
4. | If you see the tag you want, use the keyboard arrow keys to select it, then press Tab or Enter to accept it into the Tagger. If you want to assign multiple tags, enter commas between them. |

If this is the first time you've used the tag, it will not be setup yet, and therefore not recognized which means it will not be underlined. Press Enter and Taglocity will ask if you want to add this tag to your collection. Choose Yes and the Tag Properties dialog box appears where you can edit its settings. Decide if you want the tag to be public (default) which means it will travel with email (you can turn this off on a per email basis prior to sending it), or be private which means it will never travel. Press Enter to save the tag and return focus to the Tagger.
5. | Press Enter to assign the tag to the selected Outlook item. Or you can simply click away and whatever tags are in the Tagger are automatically assigned. |

Once you’ve created a few tags you'll want to organize them into bundles or collections of tags that live together. Bundles are very useful in the auto-complete feature of the Tagger, in that you can easily assign multiple tags just by typing the first letters of the tag you want to see and it’ll show the available combinations.
1. | Click the Taglocity toolbar button or ribbon tab, then choose Configuration |
2. | In the left pane, click Tags |
3. | In the Tags list, click on an existing tag to be the child tag and hold down the mouse button. (Tip Click the top node of the tree and start typing the tag's name to quickly locate it) |
4. | Drag and drop An arrow indicates the current position of the tag as you drag it. When the arrow is located to the left of the parent tag, release the mouse button to drop the tag into position the tag on the parent tag |
5. | Click OK to save changes (this closes the Taglocity Configuration form) |
Tip Pressing the Shift key while dragging and dropping will drop it in the bundle above the tag pointed at. The pointer will change to this icon:

With Taglocity you can use the Tag Filter feature to narrow down a whole folder of messages to just the tags (or Outlook categories All Taglocity tags are mapped to Outlook categories, and saved on items as Outlook categories. You can even use the Outlook categories feature to assign and remove tags.) you want to see. A tag cloud that shows only tags on items in the current view (folder) is a great mnemonic aid.
1. | On the Taglocity toolbar or ribbon tab, click the Filter button . The Tag Filter control opens (by default, in the Outlook Navigation Pane). If necessary, resize the Tag Filter by dragging its border (right above the Tag Filter title). |
2. | Type a tag name in the Type here to filter quickly box. If you want to filter on multiple tags, enter commas between tags as you type. Or simply select tags from the tag tree or tag cloud. As soon as tags are entered into the tag box, Taglocity filters the current Outlook view to show only items that have the tags you've entered. |
You can use the‘Create Search Folder button on the Tag Filter to make a new Outlook Search Folder based on this criteria. This Search Folder will look across all your folders and is useful as a ‘unified view’ of all your information matching specific tags.

When you assign a tag to an email, task or calendar entry in Outlook you can set up a number of automatic actions to occur. Common actions include moving the email to a certain folder, or using one tag to place a number of other tags on a message (for example, tagging with Acme could add the Customer tag automatically too).
If you accepted the common tags and actions at startup, then you'll already have the below tag actions setup for the Archive tag:

If you have email that comes from specific sources, or from specific people, that you want consistently tagged, then you can tell Taglocity to automatically put tags on these types of emails as soon as they arrive. For example, if you get newsletters that you don't want cluttering your inbox, you can use the Auto Assign Tags and Tag Actions features to tag and move the email into a folder of your choice, say Newsletters. I have a tag called Newsletter that puts the Newsletter tag on incoming email that comes from known email newsletter senders, then moves them into my Newsletter folder.
To implement the above suggestion, try this:
1. | Create a new folder in Outlook called Newsletters for example (In the Outlook navigation pane, right click and select New Folder...) |
2. | Click the Taglocity toolbar button or ribbon tab, then choose Configuration |
3. | At the bottom of the Tags list, click the Add Tag button |
4. | Type Newsletter and press Enter |
5. | In the Properties section, click the Move to Folder checkbox and select the Newsletters folder |
6. | Click OK to save and close Configuration |
7. | In the Outlook email list, select a typical recurring newsletter email |
8. | Right click on the email, then select Auto Assign Tags... in the context popup menu. A new criteria item is automatically added to the criteria list with the From, Comparison, and Value fields pre-filled for the current email |
9. | In the Assign Tags column, type Newsletter |
10. | Click OK to save changes and close the Auto Assign Tags dialog box |
11. | The Auto Assigned Tags criteria will execute on the selected email and the Move to Folder action will run immediately |

Groups are a way of sharing tags and email messages. You can publish common information to TeamFeed (with tags on the message, of course!) which then means other people in the group will be able to search and see. Think of how many CC: email chains you can get rid of!

You can use the Taglocity > TeamFeed > TeamFeed Online... menu or sign in here to see your groups from an Internet browser like Internet Explorer, Chrome, or Firefox. Here you’ll be able to see recent activity, messages and search by words or by tags, and do many other things.

If you want to be alerted, either by a RSS feed or a forwarded mail, that something has arrived in the group that is of interest to you, then set up an alert. All you have to do is use the Taglocity Search to get your criteria right and then select the TeamFeed Alert button to create the new alert. Jump to TeamFeed Alerts for more information.

You can invite new users to your TeamFeed group from the Groups page on TeamFeed Configuration They’ll receive an invite with instructions how to join your new group. Remember, sharing information via groups can reduce your emails and provide a valuable place for people to find the information they need.

8. | In the Enter email address of members to Invite box, type the email addresses of the people you would like to invite, separated by a comma “,” |
9. | Click the drop-down arrow on the Specify a Role box to select a role ADMIN: can add/invite members and delete groups MANAGER: can add/invite members |
10. | Click OK to process the invites and close Invite Members dialog box |
11. | If any of the invitees do not have a TeamFeed account, Taglocity will prompt you for confirmation to email them TeamFeed account creation invites. Choose Yes (choosing No cancels the invitation) |
12. | Taglocity will email invitations from you along with instructions to the invitee(s). You can view the invitations in your Sent Items folder. |
Note Invitations expire after one month.
