About Tagging

One of the most powerful features of Taglocity is tagging but this doesn't mean you should spend too much time tagging all your old email (although there is a tool to help you do this if you want to). The purpose of tagging is to provide a better organization system for archiving, and then improving your odds of finding things later very quickly (via Tag Filter, Taglocity Search, and Windows Search too). You can ease into using tags and sooner or later you will begin to wonder how you ever got by without them! See Tagging for more information and tips.

FYI  Taglocity Tags are saved on items as Outlook categories  All Taglocity tags are mapped to Outlook categories, and saved on items as categories. Taglocity exposes and enhances the full power of Outlook categories which is a typically under-used feature due to the klutzy interface. Both Windows Search and Outlook search index categories which means that even if you stop using Taglocity, you will still benefit from Taglocity tagging because tags always remain on your Outlook items as categories. And you can assign and remove them using Outlook's category interface at any time, even while Taglocity is running .

What if I don't like to tag?

Taglocity provides many productivity features that are not related to tagging, such as the Conversation Reader, Taglocity Search, Contact Bar, Attachment Reminder, Send then Delete, Mute Conversations, Twitter Integration, and integration with TeamFeed, a group inbox service for sharing emails and status, and unlocking knowledge from personal inboxes.

But can I get the benefits of tagging without doing the 'work'?

Fortunately there are quite a few ways in which you don't have to tag things yourself. Here's some ideas and guidelines:

1.Taglocity has a great 'Auto Assign Tags' feature, where you can right mouse-button click on an email in your inbox and just say 'Anything from this person, or about this subject, or about these things, then put these tags on automatically'. After a few auto assignments have been set up then you'll really find a lot of things happening automatically, i.e. no work.
2.Taglocity has 'Suggested Tags' feature which suggests tags to use on any given email. If you forget to place a tag on outgoing email, Taglocity will present suggestions for you to quickly choose from. Or you can invoke this feature on any email in Outlook with a simple mouse click.
3.If you tag new messages as you write them, or replies to existing threads, then you'll find a dramatic increase in your productivity. Taglocity has the concept where the tags (with your permission) can travel with the message - this means all your replies and long threads are tagged automatically for you. This also has a 'network effect' of helping others, especially where you choose 'group tags' that you all might share. The majority of email you get will probably be in a team of people, and here the 'traveling tags' can really save you and other people a lot of time. You may just want to use the tags within the group of people you work with regularly. Tags for projects, or clients, or statuses can really help get across the 'context' of your message (and let the recipients automate their filing/handing too).
4.If you don't want to use 'traveling tags', you can still have replies tagged by using the Tag Conversation feature. In fact, in the Conversation Reader, with a single click, you can put tags on all messages in a conversation so even if just one email is tagged correctly, you can quickly synchronize the tags on all the other emails in the conversation.
5.If you would like to start using Outlook categories All Taglocity tags are mapped to Outlook categories, and saved on items as Outlook categories. You can even use the Outlook categories feature to assign and remove tags. (via Taglocity) and fewer folders to organize and archive your email, take a look at the Bulk Tagging feature to give you a jump start.
6.TeamFeed is a group inbox with benefits; a place where you can send email to and then let the recipients decide how they want to see it - sort of a smart alternative to the dreaded 'Reply All', distribution lists, or growing CC list. Some members of the group will want everything forwarded as you send it to the group, while others might be a happy with the Daily Digest summary or perhaps specific RSS feeds based on narrow queries. The primary advantage is that others can choose their 'email flow' and for those emails that arrive they are already tagged.
7.Finally, it's worth mentioning that not everything has to be tagged. The delete button is still sometimes the best way to go! The usefulness of tags increases if you think you might ever want to quickly find that information again.

In a typical work day you'll find you have to tag a lot less than you think you will!
